Size and position
Floor area is the starting point. Position matters too: a corner or island stand has more open sides to finish and often needs more structure than a stand in a row.
Custom or modular
A custom stand is built for one design and usually costs more upfront. A modular system can be reused across shows, which spreads the cost. Which suits you depends on how many shows you attend and how distinct you want to look.
What is on the stand
- Graphics, from simple printed panels to large feature walls.
- Lighting, from basic to custom effects.
- Screens, demo equipment and interactive features.
- Furniture, counters, storage and meeting rooms.
- Flooring and special finishes.
Venue rules and logistics
Venues set rules for contractors, rigging, power and deliveries, and some charge fees for services. Delivery, installation windows and teardown also affect the plan. Build these in early, not on the last week.
Timing
A short timeline can limit options and raise cost. Starting 12 to 16 weeks ahead gives time to design well and avoid rush charges.
How to compare quotes
Ask each builder to list what is included: design, build, graphics, lighting, installation, on-site management and teardown. Quotes that look different often include different things.
