Exhibition stand planning: the 16-week timeline

A stand is won weeks before the doors open. Here is the plan we work back from.

16 weeks before: strategy and brief

Decide what the stand must achieve, for whom and how you will measure it. Confirm the stand size, position and budget range.

12 weeks before: concept and design

Develop the layout and visitor journey, with 3D views. Check the design against the venue's rules, and approve it.

8 weeks before: build starts

Fabrication and approvals begin. Graphics and content are locked, so printing and production can start.

3 weeks before: content and logistics

Confirm screens, collateral, staff briefing, shipping and permits. Plan the move-in schedule with the venue.

1 week before: move-in and install

Install the stand inside the venue's window and walk it through with your team. Test screens, lighting and power.

Show days: on-site management

Keep a point of contact on site. Capture leads each day and fix issues quickly.

After the show: follow-up

Sort and hand over leads, complete teardown and review what worked. Plan the next show from what you learned.
